Exhibition Stall Calculator
Stall rent, travel, helper, display — the sales number you must hit per day before that exhibition earns you anything.
You pay the stall rent months before the show, then travel, a helper, display, hotel and transport for the stock — and only on the last evening do you work out what the four days actually earned. Gold makes it worse: a four-lakh weekend can still finish behind, because most of that ticket was metal, and metal was never your earning.
What it will do
- Add up every cost the show creates — stall rent plus 18% GST, travel, hotel, helper, display
- Work break-even on your margin, not on turnover, so a gold counter is not flattered by ticket size
- Turn that into a per-day and per-hour sales target you can check at lunch
- Show the counter mix — gold, silver, imitation — that reaches the target on your real margins
- Print an A4 costing sheet to carry to the stall and fill in day by day
Who reaches for it: For the seller who takes two or three exhibitions a season — society mela, wedding expo, trade show — and books the stall on gut feel.

How do I know if an exhibition stall is worth it for my jewellery business?
Add every cost that exists only because of the show — stall rent and the 18% GST on it, travel, freight, hotel, the helper's days, display hire, insurance — then divide that total by your margin rate, not by your selling price. On gold you earn from making and wastage, not from the metal: a counter keeping 12 paise in the rupee needs close to four times the sales of one keeping 45 paise to cover the same rent.
Do I need GST registration to sell at an exhibition in another state?
If you sell in a state where you have no place of business, GST expects you to register there as a casual taxable person before the show. That registration runs up to 90 days, is extendable once, and asks for an advance deposit of the tax you expect to collect. Stock usually travels for display on a delivery challan, and the bill is raised when a piece sells. Check the current procedure for your state with your CA.
What costs should I count besides the stall rent?
Ask the organiser what the rent excludes — that is where budgets break. Count 18% GST on the rent, corner or extra-power charges, fascia and banner printing, freight and transit cover for the stock, hotel and food for setup days as well as show days, a helper's wages, display hire, and card charges: UPI and RuPay debit carry no merchant fee, a credit-card swipe carries whatever your bank charges.
