WhatsApp Order Format Maker

Stop decoding 14-message orders — one fill-in-the-blanks format your buyer copies, completes and sends back.

An order arrives as fourteen messages: a screenshot, "this one", a voice note about the size, a rate question, and the address three days later. By the time you write it into the order book, something is missing and the customer remembers it differently. The fix is one format the buyer fills in and sends back.

What it will do

  • Build a fill-in-the-blanks order format your buyer copies, completes and sends back
  • Ask for what orders break on — purity, size, length, plating, stone, due date
  • State the rate basis in writing: booking-day rate or delivery-day rate, never assumed
  • Write "one tola" as 11.6638 g, so the weight is never argued in two units
  • Show advance received and balance due, with the delivery date beside them

Who reaches for it: Sellers who book made-to-order and custom pieces over chat — counter shops, home-run brands and anyone whose karigar works off a WhatsApp thread.

Sellers also ask

What details should a jewellery order form include?

Design or piece code, metal and purity (916 for 22K, 750 for 18K, 925 sterling), size — Indian ring 4 to 30, bangle 2-2 to 2-12, chain length in inches — plating, stones, approximate weight, the making-charge basis, advance and balance, delivery date, and the address with PIN.

Should the gold rate be fixed on the booking day or the delivery day?

Both are honest; the argument comes from never saying which one applies. Common counter practice is to bill at the delivery-day rate and treat the advance as part payment, while some shops hold the booking-day rate against a full advance. Whichever you follow, write it on the order in plain words.

Do I charge GST on the advance I take with a jewellery order?

For a sale of goods, no — GST on advances for goods was withdrawn by Notification 66/2017. The tax lands once, on the invoice you raise at delivery, at the rate that invoice's own classification carries: a finished piece handed over ready-made is one supply of goods, 3% on the whole value with making included, while making supplied as its own service and billed apart carries 5% on that charge. Call the entry "advance received against order" and hand over a receipt, not a tax invoice.
